Short answer

RPA repeats fixed steps on the screens of your systems and fits a stable process. A chatbot talks with your customers and fits questions that keep coming back. An AI agent reads documents or emails, decides, and operates several systems, and fits a process with exceptions that call for judgment. With all three, a person reviews what they did not resolve.

01What each one is and how they differ

Each one in a sentence

  • RPA (robotic process automation): software that repeats, with rules defined in advance, the steps a person would take on screen, such as entering data or copying it from one system to another 12.
  • Chatbot: a program that converses with people by text or voice 3. A rule-based chatbot replies from a set of questions and answers prepared in advance. One that uses AI understands the question even when it is worded differently 4.
  • AI agent: a system where a language model, the AI that understands and writes text, decides which steps to follow and which tools to use to reach a goal, within rules that a person sets 56.

The core difference is who defines the path. In RPA and in the rule-based chatbot, someone wrote it beforehand 24. In the agent, the model chooses it step by step 5.

UiPath, which sells both RPA and agents, positions RPA as the reliable, cost-effective option for predictable tasks, and agents for ambiguous work 7.

02How to decide: four questions about your process

  1. Does the process follow fixed steps? If it is done the same way every time, on the same screens and with formats that rarely change, start with RPA. It does the same thing on every run, and that makes it reliable 7.
  2. Do you need to read documents or emails? RPA follows the rules it was given and does not interpret a freely written email 2. If the information arrives as PDFs, photos, or messages in different formats, an agent fits better 7.
  3. Are there exceptions that call for judgment? A price that does not match, a customer with an overdue balance, a discontinued part. If the exceptions are few and can be listed, they can be written as rules in RPA. If different ones show up every week, an agent fits better, with a person who reviews the doubtful cases 56.
  4. Is a customer the one asking, and do the questions repeat? Business hours, order status, requirements: a chatbot covers that. According to IBM, a rule-based or keyword chatbot is enough when there are few active users and few frequently asked questions 4.

When in doubt, start with the simplest option. Anthropic, which develops agents, recommends the simplest solution and adding complexity only when needed, even if that means not building an agent 5.

If your answers point to an agent, read about AI agents for businesses in Mexico and how to implement AI agents in your company.

03When to combine them

Many processes use two of the three. Here are three possible combinations:

  • The agent decides and RPA executes. The agent reads the email, validates the data, and resolves the exception. RPA enters the result on a screen, with fixed steps. Microsoft plans this split for Power Automate: its agents would call its desktop flows, its RPA, on tasks that call for step-by-step precision 8. RPA is useful with older programs that do not connect with others, because it works on the screen 19.
  • The chatbot receives and the agent resolves. The chatbot handles the customer's first question. When the request requires doing something in the systems, it hands the case to an agent or to a person 3.
  • RPA runs the routine and flags exceptions. When it hits a case its rules do not cover, it passes the case to an agent or to a person. IBM notes that AI can help RPA cover more complex cases 2.
Illustrative

Repair shop orders at a parts distributor

A spare parts distributor in Mérida, a company invented for this example, receives orders from repair shops by email and WhatsApp, as a PDF, a photo of a notebook page, an Excel sheet, or a message. One person in inside sales enters them by hand into the ERP.

Tool that fits: an AI agent. Each order arrives in a different format and with exceptions that call for judgment: a discontinued part, a price different from the list, a shop with an overdue balance. RPA would need new rules for each format, and a chatbot would answer the shop but would not enter anything in the ERP.

The math, with invented figures:

  • Orders per day: 40.
  • The agent leaves them ready to enter: 34.
  • The agent flags as doubtful: 6.

The inside salesperson now reviews those 6, decides what to do with each exception, and works with the shops that place special orders. The agent enters the rest in the ERP, and the distributor can take on more orders without adding people dedicated to data entry. That is an avoided cost of growth, and that person's role grows.

04Where each one falls short

  • RPA. It follows only the process it was given 2, so when a case falls outside its rules, it does not decide. If a screen, a format, or a program version changes, the robot can stop finding the button or the field and fail until someone repairs the step 10.
  • Chatbot. A rule-based chatbot gets stuck on questions its designer did not anticipate, and without a handoff to a person it frustrates the customer 4. One that uses AI understands more ways of asking, but it can answer wrongly, so someone reviews its conversations.
  • AI agent. It can make mistakes, like any person or program. Anthropic warns of higher cost and errors that compound, and recommends testing in isolated environments with clear limits 5. IBM suggests requiring human approval before high-impact actions 6. It typically costs more and takes longer than a simple solution 5; in a stable process, it is not justified.
  • All three. None of them guarantees zero errors. With each one, a person reviews: the exceptions from RPA, the unresolved conversations from the chatbot, and what the agent delivers along with the cases it flags as doubtful.

05What to bring to the 30-minute diagnostic

Omni Agent is Bancorp's AI agents vertical, in Mérida, Yucatán. Its agents operate the systems your company already uses, such as Excel, the ERP, or the banks, without changing your software.

The initial diagnostic lasts 30 minutes, has no cost, and you request it on WhatsApp with the button at the end of this article. To get the most out of it, bring one process written down with four things:

  • The steps, in the order they are done today.
  • The systems where it is done: Excel, the ERP, the bank, email.
  • The exceptions that come up and who resolves them.
  • Who does it today and what they would review or decide with more time.

If your process turns out to be one of fixed steps, RPA may be the best option. The diagnostic does not promise results.

Tell us about your process and we'll see which tool fits it.
