Short answer

An AI agent is a system that receives a goal, decides the steps, and uses your company's tools, such as Excel, the ERP, or the bank portal, to reach it. A person sets the rules and reviews what it delivers, because the agent can make mistakes. Omni Agent's agents operate the systems you already use, without changing your software.

01What an AI agent is

An AI agent is a system that receives a goal, decides the steps to reach it, and uses your company's tools to carry them out, with rules that a person defines and reviews 12. Inside, it uses a language model, the type of artificial intelligence that understands and writes text, to decide what to do at each step.

Anthropic calls systems agents when the model directs its own process and its use of tools 1. OpenAI describes them as systems that complete tasks on your behalf with a high degree of independence, and it clarifies that a simple chatbot is not an agent 2. Agents pay off where fixed rules fall short: processes with exceptions, rules that are hard to maintain, and documents that need interpreting 2.

The systems it works with

An agent does not ask you to switch software. It works on the tools your team already uses:

  • Excel. Orders, price lists, reports, and control sheets.
  • The ERP. The system where sales, purchases, inventory, and accounting are recorded.
  • Your banks' portals. Where you look up transactions and balances.

When a system offers no direct connection, an agent can operate its screen the way a person would 2. Omni Agent is Bancorp's AI agents vertical, and its agents operate the systems your company already uses, without changing your software.

What changes is the reach of your team. The agent takes the repetitive work, and your people handle more customers, more cases, and decisions they could not get to before.

02What tasks an AI agent can take on

Here are eight tasks an agent can take on across Excel, the ERP, and bank portals, and what the person on your team does now.

  • Reconcile the bank with your accounting records. The agent pulls the transactions from the bank portal, matches them against the ERP, and flags the ones with no match. Your finance analyst now investigates those differences and proposes adjustments.
  • Prepare quotes. The agent builds the quote in Excel with the current price list and leaves it as a draft. Your sales representative now reviews it, negotiates, and follows up with more prospects.
  • Enter orders. The agent reads your customers' orders, enters them in the ERP, and flags the ones with incomplete data. Your sales coordinator now looks after those customers and opens new accounts.
  • Follow up on collections. The agent checks which invoices are overdue and prepares the reminders as drafts. Your collections lead now calls the difficult accounts and negotiates payment terms.
  • Prepare supplier payments. The agent compares each invoice with its purchase order and leaves the matching ones ready. Your accountant now authorizes the payments and negotiates terms with suppliers.
  • Build the weekly report. The agent pulls information from several spreadsheets and the ERP into one report. Your manager now reads it, spots what is out of the ordinary, and decides.
  • Check entries before the close. The agent looks for missing data, duplicate records, and figures that do not add up. Your accountant now investigates the cause and corrects the process.
  • Answer status questions. The agent checks the ERP, tells customers whether their order has shipped, and hands anything that needs judgment to a person. Your customer service representative now resolves the complex cases and looks after key customers.

In all eight, a person decides what gets sent, what gets paid, and what gets adjusted.

Illustrative

Order entry, before and after

A hypothetical distributor receives 80 orders a week in Excel spreadsheets. Entering each order in the ERP takes 6 minutes: 80 × 6 = 480 minutes, or 8 hours a week. Ana, in inside sales, enters them all.

With an agent, the 80 orders are entered and 5 are flagged for incomplete data. Ana reviews those 5 and a sample of 10 of the remaining 75 (80 − 5 = 75). The time she used to spend on entry now goes to calling the customers with incomplete orders and opening new accounts.

If orders grow to 120 a week, that is 40 more (120 − 80 = 40). Entering them by hand would add 240 minutes, 4 more hours a week (40 × 6 = 240). With the agent, the company grows without paying for an extra data-entry hire: that cost of growth is avoided.

The numbers are illustrative, made up to explain the idea. They are not a customer's results.

03AI agent, chatbot, and RPA: how they differ

All three automate work, and they differ in who decides the steps. A chatbot is a program that converses with people by text or voice, and traditional ones follow rules and conversation scripts defined in advance 4. RPA, or robotic process automation, uses software robots that imitate what a person would do on screens and systems, for repetitive tasks with fixed rules 36. RPA robots follow only the processes someone defined for them 3. The agent decides the steps.

OptionWhat it doesWhen it fitsWhat your team reviews
AI agentDecides the steps to reach a goal and operates several systemsProcesses with exceptions or documents that need interpretingWhat it delivers and the cases it hands to a person
ChatbotConverses with your customers by text or voiceRepeated questions that swamp your customer service teamThe conversations it did not resolve and its answers
RPARepeats fixed steps on screens, the same way every timeStable processes with clear rulesThat the defined steps are still the right ones

04What an AI agent does not do

These are the limits worth having clear before you start.

  • It can make mistakes. Language models sometimes generate incorrect information, and techniques to reduce it lessen the problem but do not remove it 5. Anthropic also warns that an agent's autonomy brings higher costs and errors that compound 1. That is why a person reviews what it delivers. Also ask for every step to be logged, so you know what it did and can correct it.
  • It does not decide for you. Paying, canceling an order, signing, or answering a complaint are decisions for a person. OpenAI recommends human oversight for sensitive, irreversible, or high-risk actions, such as approving large refunds or making payments 2.
  • It does not always finish the work. A well-designed agent stops and hands the case to a person when it fails several times or cannot complete the task 2. Ask for that handoff from the design stage.
  • It does not fix a process nobody has defined. If everyone does the work their own way, first agree on how it is done.
  • It does not give legal or tax advice. It can organize, cross-check, and prepare information. Decisions about tax obligations, contracts, and compliance are made with your accountant or your law firm.

05How to get started

You start with a 30-minute diagnostic that has no cost and is requested through WhatsApp. Omni Agent, Bancorp's AI agents vertical, is based in Mérida, Yucatán.

  1. Message us on WhatsApp. Ask for the 30-minute diagnostic. It has no cost.
  2. Pick one process. Choose one that involves manual work today in Excel, the ERP, or your bank portals. The one that takes the most time from your team is a good starting point.
  3. Write down how it is done today. The steps, the systems, and who is involved. If the process is not defined, it helps to clarify it first.
  4. Define what your team reviews. Decide which decisions stay with people and when they review what the agent delivers.
  5. Decide the next step with what you now know. The diagnostic does not promise a result.

The step-by-step detail on how an agent is implemented is in How to implement AI agents in your company.
